Task Management for Freelancers (Part 1)

Over the years I’ve tried a number of different systems and software to try to manage my time and my tasks. Realistically, I’ve found that I get the most out of using a combination of these tools. In the next couple of posts I will share and compare a few of the solutions I’ve found work best for me.
Whiteboards
In my office I have 3 whiteboards for overall goals, current projects and outlining ideas as well as a quick glance calendar for visualizing deadlines and tracking appointments. (I do however use iCal on Mac to keep track of bills, payments, events and travel.)
Moleskin, Notepads & Post-it Notes
I keep a leatherbound business journal that I use for introspective on my career and my life. I mainly use this for the tidbits of wisdom that I’d like to be able to pass on than for planning projects.
Additionally, I always have a legal pad on hand for taking notes, drawing initial wire-frames, plotting navigation, etc. Post-It Notes stay on deck for quick lists, client call backs or other random tidbits.
The Printable CEO Series
One of the best resources I’ve found so far that I’ve implemented on and off a couple times is the Printable CEO Series by David Seah.
These printable PDF’s allow you to breakout tasks and visualize your time. Compiling an archive of these sheets as a consultant can help you give more detailed invoices and reports to your clients, as well as metrics you can use to gauge how you are spending your time, what’s making you revenue and what’s costing you time that could be better used elsewhere.
In the next part of this series I’ll discuss the web applications and widgets for time tracking and managing invoices. Part 3 I’ll be writing about my personal challenge for productivity and how I use these tools to streamline client relations and maximize my value as a consultant.
